About Care2Learn & getting started
What Care2Learn is, who it is for, and how organisations, care staff and self-employed carers get started.
What is Care2Learn, and who is it for?
Care2Learn is online mandatory training for UK adult social care and children's services. Courses are written for care homes, domiciliary care, supported living, children's homes and supported accommodation. It has 82 courses, certificates in each learner's own name and a training matrix that shows what is complete and what is due. Care organisations use it to train their teams, and self-employed carers can buy training for themselves. Browse the course catalogue.
How do I sign up?
Choose Get started on the home page, or go to sign in and pick Register your organisation. You give your organisation's name, an email address, a password and how many people you will train, and accept the Terms. Phone, address and CQC number are optional. Your dashboard opens straight away. Self-employed carers create an account with just a name, email and password. Care staff do not register, because their manager sets up their sign-in.
How quickly can we start training?
Registration takes a couple of minutes, and you can add your first carers the same day, either one at a time or by uploading a CSV file. Each carer is emailed their sign-in details when they are added, unless you set a later go-live date. To assign courses you need credits or a subscription. Credits give instant access with no minimum order. If you prefer, send us names, emails and the courses you want allocated, and we will set it up for you free.
Can I see Care2Learn before signing up?
Yes. The demo is a two-minute, self-guided tour of the employer dashboard, with no sign-up and no sales call. The one-minute carer demo shows what staff see. You can also open a demo account with sample data from the organisation sign-in screen. If you would rather talk it through with a person, use the contact form on the home page or email hello@care2learn.co.uk.
I'm a care worker. How do I sign in?
If your employer set up your training, sign in, choose Care staff and enter your email address and 4-digit PIN. There is no password. Your PIN is in your welcome email; if you cannot find it, ask your manager to resend it. Forgotten your PIN? Choose Forgot your PIN? on the staff sign-in screen and we will email you a link to set a new one, or ask your manager to reset it. If you pay for your own training, use the self-employed carer sign-in.
We already use another training provider. Can we bring our records across?
Yes, if you have your Skills for Care (ASC-WDS) training report, the .xlsx export most providers already keep. Add your staff first, then upload it. Care2Learn matches people and courses for you to review, and nothing is saved until you confirm. Records matched to a course show on your training matrix and reports as evidence from a previous provider, with the source kept. They never become Care2Learn certificates and never appear on the public certificate checker. Each person's ASC-WDS Worker ID is kept from the import, so later exports hand your answers back under the IDs ASC-WDS already knows.
Can we claim LDSS funding for Care2Learn courses?
Mostly no, and we would rather tell you that plainly. The Learning and Development Support Scheme (LDSS) reimburses adult social care employers in England for the specific courses and qualifications on the government's eligible list — for example the Level 2 Adult Social Care Certificate and bought-in Oliver McGowan training — claimed through your ASC-WDS account. General e-learning is not on that list, so Care2Learn subscriptions and courses cannot themselves be claimed.
Where Care2Learn helps is the claiming itself: LDSS requires your ASC-WDS record to be up to date, and the ASC-WDS answers export on the Compliance tab gives you each person's Worker ID, Care Certificate status, start date and completed training ready to copy across. Check the current eligible list and rates on gov.uk before you buy, because the list and amounts change each funding year.
What language are the courses in?
All courses, assessments and certificates are in English (British English), with optional spoken narration in English. Course content is nation-aware for England, Scotland and Wales — learners see the regulator, law and standards for where they work — but we don't yet offer translated courses or cover Northern Ireland.
Who runs Care2Learn?
Care2Learn is a service of CARE2LEARN LIMITED, a company registered in England and Wales (company number 12435039). Its registered office is at Wren House, 68 London Road, St Albans, Hertfordshire, AL1 1NG. It is registered with the Information Commissioner's Office (ZC205619) and is a CPD Accredited Provider, a CPD Member of The CPD Certification Service.
Courses & learning
What the courses cover, how long they take, how learners work through them and are assessed, and how the Care Certificate and NHS England's Oliver McGowan training fit in.
How many courses are there, and what do they cover?
The course catalogue lists 82 courses in seven groups: induction and the Care Certificate; safeguarding and mental capacity; health, safety and environment; clinical and medication; wellbeing and daily living; children and young people; and leadership and management. They cover mandatory and statutory topics for adult social care and children's services, including children's homes and supported accommodation. One of them is NHS England's free Oliver McGowan elearning, which is not a Care2Learn course.
How long does a course take?
Care2Learn's courses take 35 to 60 minutes, most often 45, except Leading & Managing in Adult Social Care at about 75 minutes. The Care Certificate is self-paced across 16 modules, and NHS England's Oliver McGowan elearning takes around 90 minutes. Each course page shows its length, and nobody has to finish in one sitting: progress is saved section by section (module by module on the Care Certificate).
Can staff do the training on a phone, and stop and come back later?
Yes. Courses work on phones, tablets and computers. Each one is split into short sections that learners can read or listen to as narration, with a quick check in every section that must be answered before moving on. Progress is saved at the section reached (on the Care Certificate, at each completed module), so a carer can do a section on a break and pick up where they left off. The final assessment opens after the last section and is best done in one go: answers are not saved if a learner leaves it part-way.
How are courses assessed, and what is the pass mark?
Each Care2Learn course ends with a multiple-choice assessment of 10 to 15 questions; the Care Certificate is assessed module by module instead. The pass mark is 70%, except Anaphylaxis & Adrenaline Auto-Injectors, which needs 100%. On Buccal Midazolam the first question must be answered correctly whatever the overall score. After submitting a course assessment, learners see every question with the correct answer and an explanation, and the attempt is recorded. A Care Certificate module quiz shows the score and can be retried straight away. There is no limit on retakes, and retaking a failed assessment uses no extra credit.
How detailed are the courses?
Apart from the modular Care Certificate, each Care2Learn course has 7 to 12 sections, each with explanation, key points, a knowledge check and usually a worked example from care practice, followed by a 10 to 15 question assessment. A few add workplace tasks to complete on the job. The course catalogue shows each course's topics and learning outcomes. Courses teach knowledge, not hands-on skills: moving and handling, CPR and using an auto-injector still need practical training, and competence is assessed by the employer at work.
How does the Care Certificate work on Care2Learn?
The Care Certificate is one guided course covering all 16 standards as short modules, taken in any order at the learner's own pace. Each module ends with six questions, and four correct passes it. Finishing all 16 earns a certificate for the knowledge element. The full Care Certificate is awarded only when the employer or an invited assessor has signed off all 16 standards on the platform, confirming every outcome and recording a professional discussion for each. The whole record prints as a portfolio.
Can staff do the Oliver McGowan training through Care2Learn?
Yes, but it is NHS England's training, not a Care2Learn course. The Tier 1 elearning (around 90 minutes) is free on NHS England's elfh platform, and assigning it in Care2Learn never uses a credit. Staff register on elfh, complete it there and upload their certificate; you check it and it counts on your training matrix. Organisations can also apply in Settings for a direct NHS England connection. It is Part 1 only: Part 2, a one-hour interactive session, must be arranged separately with an approved provider.
What if we need a course you don't have?
Tell us. If your service needs a course that is not in the course catalogue, we will build it for you free within 7 days. Email hello@care2learn.co.uk with what you need and we handle the rest. Conditions apply — the promise covers e-learning on health and social care topics. We also work to keep existing courses current as law and guidance change.
Do the courses work for services in Scotland and Wales?
Yes. Care2Learn supports England, Scotland and Wales. A manager sets where the organisation operates in Settings, and course wording is adapted to that nation's regulator, law and standards, such as the Care Inspectorate and SSSC in Scotland. Where the law itself differs, a 'Where you work' note on the course explains it: the Mental Capacity Act course, for example, tells Scottish services not to rely on it as their capacity training. The Care Certificate is England's induction standard and does not evidence the Scottish or Welsh frameworks.
Can learners go back over a course after passing?
Yes. A passed course stays on the learner's list with its result and expiry date, and they can open it again to revisit every section. When the training expires, the course shows 'Renew Now' so they can take it again and earn a new expiry date.
Certificates, CPD & compliance
What a certificate shows, how anyone can check it, the CPD status of our courses, and the evidence your training records give an inspector.
What does a Care2Learn certificate show, and whose name is it in?
A course certificate is issued in the learner's own name as soon as they pass the end-of-course assessment. It shows the course, the organisation it was completed for, the assessment score where one is recorded, the completion date, a 'valid until' date and a certificate ID, followed by a summary of the learning achieved. It carries our CPD Member badge and explains how to verify a certificate online. A self-employed carer's certificate shows their own name where an employer's would normally appear.
Is Care2Learn CPD accredited?
Yes. Care2Learn is a CPD Accredited Provider and a CPD Member of The CPD Certification Service. Every Care2Learn certificate carries our CPD Member badge. Courses the Service has certified individually, including Safeguarding Adults, Moving & Handling and the Care Certificate, are labelled CPD Accredited on their course pages. Our other courses are CPD Aligned. The Oliver McGowan elearning belongs to NHS England. It is free through elfh and has no Care2Learn CPD status.
How long is a certificate valid, and when is refresher training due?
By default, training is valid for 12 months from the completion date. The expiry date is printed on the certificate as 'valid until'. If your policy runs on a longer cycle, the account owner can set any course, or every course at once, to 24 or 36 months in Settings. Changing the period also re-dates training already completed, so download fresh copies of any printed certificates. Training due to expire within 30 days shows as 'Expiring soon' on your matrix.
How can an employer check that a certificate is genuine?
Anyone holding a Care2Learn certificate can check it at verify a certificate. No account is needed. Enter the certificate ID, which starts CERT-, and the learner's surname. Both are printed on the certificate. The result says whether the certificate is valid or genuine but out of date. It shows only the learner's first initial and surname, the course, the dates, the assessment result and the current status. An ID without the matching surname returns nothing.
Do certificates go with a carer when they change employer?
Yes. Certificates are in the carer's own name and stay checkable at verify a certificate, so a new employer can confirm one they are shown. Staff can download and print their certificate PDFs unless their employer has switched downloads off, and managers can download them either way. Save copies before you leave: once your employer deactivates your licence, you can no longer sign in. Self-employed carers keep their certificates, and our carer terms say we will not withhold one for training you have completed and paid for.
Is online training enough to meet CQC requirements?
Not on its own. A certificate shows that the learner completed the training. On its own it does not prove practical competence or show that your organisation complies with the CQC or any other regulator. You remain responsible for assessing competence in practice. For hands-on topics such as Moving & Handling and medication, practice should be observed in the workplace. You can record a named, dated competency sign-off against the course and print sign-off packs. The Care Certificate is only awarded after workplace sign-off.
How does the training matrix work?
The matrix lists every active staff member against each course. Each entry shows whether that training is valid, expiring, in progress, expired or failed, or assigned but not yet started. Tell Care2Learn which courses your organisation treats as mandatory. The matrix, compliance scores and CQC report then measure exactly those courses and flag any mandatory training that is missing. Completions appear as they happen. Training history imported from a previous provider also counts and is marked with its source.
What evidence can I download for an inspection?
From the Compliance Report you can download a PDF report listing each person's courses, status, scores, completion and expiry dates, with your CQC number if it is on your account. There is also a compliance CSV that includes competency sign-offs, a CSV in the Skills for Care layout, and an ASC-WDS answers export with each person's Worker ID, Care Certificate status and training counts. The same screen exports expiring training, a reminder audit trail showing who was chased and when, and every certificate in one document. Each carer's training record also downloads as a PDF or CSV.
Pricing, credits & payment
What training costs, how credits and packs work, which discounts apply and how you pay.
What does pay as you go cost, and what is a credit?
Pay as you go is £3.99 per course, per learner, with no contract. You buy credits, and one credit covers one course for one carer. The Care Certificate uses two credits (£7.98) because it covers all 16 standards. The Oliver McGowan elearning is NHS England's, not a Care2Learn course. It is free and never uses a credit. On a subscription, assignments are unlimited, so you only need credits for learners you set to pay per course.
How much is a team subscription?
You pay one flat monthly rate per learner for your whole team, and the rate depends on team size: 1–10 carers £1.99, 11–20 £1.89, 21–50 £1.79, 51–100 £1.59, 101–150 £1.49, and 151 or more £0.99. Everyone pays the band's rate, so a 120-carer team pays £1.49 on all 120. It includes all 82 courses with unlimited assignments, and your rate is locked for your term. Full details are on our pricing page.
Is pay as you go or a subscription cheaper for us?
As a rule of thumb, once each carer takes more than six courses a year, the subscription is cheaper. At the 1–10 carer rate, £1.99 a month is £23.88 a year per carer, while six courses at £3.99 cost £23.94, so the two are almost level at six. Larger teams pay a lower rate, so the subscription pulls ahead sooner. The calculator on our pricing page compares both for your team size and course load, and you can download the result as a one-page PDF.
Do credits expire?
No. Credits never expire and stay on your account until you use them, so you can buy ahead and assign courses when they fall due. Credits bought in a pack are ordinary credits and last in the same way. Under the carer terms, credits have no cash value and cannot be transferred to another person or account. The one exception is if you agree to move into your employer's Care2Learn team, when any unused credits go to its account.
Is VAT added to your prices?
No. Care2Learn adds no VAT, so the price you see is the price you pay, and the payment page shows the exact total before you pay. Most care services are VAT-exempt, so providers generally cannot reclaim VAT on what they buy. A training price quoted elsewhere as 'plus VAT' therefore really costs a fifth more than it reads.
Do you offer discounts for charities or Homecare Association and Care England members?
Yes, on team subscriptions. Registered charities and registered members of the Homecare Association or Care England get 10% off, applied once even if you qualify both ways. Paying the year upfront, or taking a 2-year agreement billed monthly, saves 5% (one or the other, not both). Together that is at most 15% off: a team of up to 10 on a 2-year agreement with a charity declaration pays £1.69 a learner a month instead of £1.99. You declare eligibility at checkout, and it may be verified.
Do you sell credit packs?
Yes, and packs have no term. Organisations can buy 25 credits for £94.75 (£3.79 a course), 50 for £174.50 (£3.49), 100 for £329.00 (£3.29) or 250 for £747.50 (£2.99) from the dashboard once registered. Self-employed carers have their own packs (see carer pricing). The Refresher Pack is 5 credits for £14.99. The Care Certificate Pack is 7 credits for £19.99, which covers the Care Certificate plus five more courses. Pack credits never expire.
How can we pay, and is there a minimum order?
Payment goes through Stripe's secure checkout, by card or Direct Debit, and Care2Learn does not store full card details. You need to be signed in to buy, because credits go straight onto your account. Credits paid by Direct Debit are added automatically once the payment clears, usually within 3 working days. There's no minimum order, so you can buy a single credit. A subscription always covers at least one learner.
Is there a charge for certificates?
No. A dated certificate is issued as soon as a learner passes, and it is included in the course price, whether the course was paid for with credits or covered by a subscription. Learners can view it in their portal, and download it unless their employer has switched staff downloads off. Retaking a failed assessment doesn't use another credit, because the retake is recorded on the same course.
Subscriptions & billing
How team subscriptions are billed, what happens when your headcount changes, and how renewal, notice and payments work.
How does a team subscription work?
Every learner on a subscription seat gets unlimited course assignments, including the Care Certificate. You pay per active learner, at one flat rate for the whole team set by its size band. A subscription always covers at least one learner. It runs on a 12-month term, paid monthly in advance or for the year upfront, or as a 2-year agreement billed monthly. See pricing for current rates.
How long is the contract, and does it renew automatically?
Subscriptions run for a 12-month term, whether you pay monthly or upfront; a 2-year agreement has a 24-month first term. At the end of a term the subscription renews automatically for a further 12 months unless you have given notice. We email you 45 days before renewal with the amount at your current team size and the last date for giving notice.
How do I cancel, and how much notice do I need to give?
Give notice in Settings with Cancel subscription. Notice must be given at least 30 days before your term ends. Later than that, it takes effect at the end of the following term, so you are billed for a further 12-month term. Until the end date you keep full access and any monthly payments continue; nothing is charged afterwards. You can withdraw notice before then with Keep my subscription.
What happens if I add a carer part-way through the term?
On a monthly plan, the new seat is pro-rated onto your next monthly invoice. On an annual (upfront) plan, it is invoiced when you add the carer, pro-rated to the end of your term, and collected automatically. On an annual plan, if a paid seat is free because someone was deactivated, the new carer fills it at no extra charge. If the addition moves your team into a cheaper size band, nothing is charged now and the lower rate applies from your next bill. The app shows the cost before you confirm.
What happens if I deactivate a carer?
On an annual plan, their seat normally stays paid until your renewal date. Until three days before renewal you can give that seat to a new carer, or reactivate the same carer, at no extra charge. Seats nobody is using come off just before renewal, so the renewal bills only the team you have. On a monthly plan, the seat comes off from your next monthly invoice. The app tells you which applies before you confirm.
Can some carers be on the subscription and others pay per course?
Yes. You can set individual carers to pay per course by exception, when you add them or later from your staff list. They don't count as subscription seats, and each course assigned to them uses course credits instead (the Care Certificate uses 2). Moving an existing carer off the subscription works like a removal: it takes effect from your next monthly invoice or, on an annual plan, from renewal.
Do I get a refund if I cancel?
No. Cancelling is notice not to renew, and it doesn't refund the current or any earlier period, including an upfront annual payment. Payments already made are non-refundable except where the law requires a refund. You keep full access until your term ends.
What happens if a subscription payment fails?
The Subscription section in Settings shows the amount that didn't go through, with a Pay now link and, where one is scheduled, the date of the next automatic retry. While the payment is outstanding, new course assignments use credits, and any carers you add are billed once it goes through. When it's paid, everything carries on as before. Under our Terms, we may suspend access for non-payment after giving reasonable notice.
How do I update our card or Direct Debit details?
In Settings, under Subscription, select Update next to 'Paid by'. This opens a secure Stripe page where you can change the card or Direct Debit that pays your subscription. You can't cancel or change your plan there; cancelling stays in Settings. If the page won't open, email hello@care2learn.co.uk and we'll update the details for you.
Where can I see our invoices and billing history?
The Subscription section in Settings shows your current amount, next charge date, seats paid, in use and free, your rate per learner and when your term ends. Below it, Payments & receipts lists your last 12 invoices with the date, amount and status, such as paid, awaiting payment or failed, and a PDF receipt for each paid one. A Direct Debit shows as awaiting payment for a few working days until it clears.
Managing your team
Adding staff, getting them signed in, assigning and tracking training, and keeping the team up to date.
How do I add my staff to Care2Learn?
In Staff & Licences, choose Add Staff Member to add one person, or Import CSV to add a whole team from a spreadsheet. The file needs a name and an email column; role and start date are optional, and you can download a blank template. Up to 1,000 rows can go in at once. Rows with a missing name or email, an invalid or duplicate email, or someone already on your team are skipped and listed. You can assign courses to everyone imported in the same step.
How do my staff sign in?
Staff choose Care staff on the sign-in page and enter their email address and a 4-digit PIN. Care2Learn emails each carer their PIN when you add them (or on your go-live date), and you can see it in Staff & Licences or resend the welcome email. Carers can change their PIN from Profile. If they forget it, Forgot your PIN? emails a reset link that lasts 60 minutes, or you can use Reset PIN. Ten wrong attempts lock the account, and you are emailed when that happens.
How do I assign courses to my staff?
There are three ways. Tick courses when you add a carer or import a CSV. Use Assign courses in Staff & Licences to add one or more courses to everyone, to chosen job roles, or to specific carers; anyone already on a course keeps their progress. Or open Manage on one carer and assign a single course. With an active subscription, courses for carers on a seat are included; otherwise, and for pay-per-course carers, each course uses credits.
How can I see who is due, expiring or overdue?
Staff & Licences shows each carer's completed courses against those assigned, with filters for compliant, in progress, no courses and inactive. The Compliance tab holds your training matrix and an Expiring training report you can export to CSV or print as a PDF. The Completions tab has a Needs chasing list of courses not started, in progress, failed, expired or expiring soon. A completed course counts as expiring in its last 30 days.
Does Care2Learn send reminders to my staff automatically?
Yes, unless you switch them off under Notifications in Settings. Care2Learn checks your team daily and emails any carer whose training has expired or expires within 30 days, and sends your account email a summary of who needs attention. Each person is emailed at most once a week. You can also press Nudge to email a carer everything outstanding, once every seven days per carer. Welcome emails, reminders, nudges and digests are all logged in the Reminder audit trail, which exports to CSV.
What happens when a carer leaves?
Press Deactivate on their row in Staff & Licences. They can no longer sign in or receive reminders, and their training records and certificates stay in your account. If they are on a subscription seat, the confirmation explains how your bill changes. If they come back, Reactivate restores them with their history intact, and you are shown any seat cost first. The Terms also let you reassign a leaver's seat to the person who replaces them. On an annual plan the replacement takes the paid seat at no extra charge, until three days before renewal; on a monthly plan the leaver's seat comes off and the replacement is added pro rata on your next invoice.
Can I add my team before we launch without them being emailed?
Yes. In Settings, set a go-live date up to a year ahead. You can keep adding staff and assigning courses, but nothing is emailed to your team until 08:00 that morning: welcome emails, reminders and nudges all wait. On the day, every carer is sent their sign-in details and you get an email confirming it. Automatic reminders start the following day. If you are ready early, Go live now brings the launch forward.
Can another manager help run our account?
Yes. The account owner can open a staff member's Manage window and switch on Admin access. That person signs in with their own email and PIN, can manage staff, courses and compliance, and can switch back to their own training. Only the owner can change the account's sign-in email or password, manage admin access, change renewal periods or accept the terms. Removing admin access ends their management session straight away.
How can I support staff who find the training difficult?
Courses are split into short narrated sections: carers can press Listen to this section, and most courses also offer a written transcript. Care2Learn works on phones, tablets and computers, and progress is saved so they can stop and carry on later. If they miss the pass mark, which for most courses is 70%, they can retake the assessment, and their results show which answers were wrong. Failed courses appear as Failed — retake needed in your Needs chasing list.
For self-employed carers
If you pay for your own training as a self-employed or agency carer: what it costs, what each option includes, and what happens to your certificates.
Can I train with Care2Learn as a self-employed or agency carer?
Yes. When you sign in, choose Self-employed carer and create an account with your name, email address and a password. There are no account fees and nothing recurring unless you choose Unlimited Solo: you buy courses when you need them, take them on your own account and download your certificates. If an employer set up your training for you, sign in as care staff instead.
How much does training cost for a self-employed carer?
Single courses are £3.99 each (the Care Certificate uses two credits, so £7.98). The Refresher Pack is £14.99 for five courses, the Care Certificate Pack is £19.99 for the Care Certificate plus five more courses, and Unlimited Solo is £24.99 a year for every course. Credits never expire and packs are one-off payments. No VAT is added: the price you see at checkout is the price you pay. Compare options on carer pricing.
Are the certificates mine, and can agencies and clients check them?
Yes. Each certificate is in your name and shows the date you completed the course and when it is next due. Your certificates and training record are yours, and you can download them at any time while your account is open. Anyone you give a certificate to can check it at verify a certificate using its ID and your surname. They see only your first initial and surname, the course, the dates, the assessment result and whether it is currently valid.
Will an agency or client accept my Care2Learn certificates?
A certificate evidences that you completed the training. It is not by itself proof of competence in practice, which is assessed in the workplace, and we cannot guarantee that a particular agency, client or regulator will accept it. If you are training to meet a specific agency's requirements, check with them first. They can confirm any certificate is genuine and in date at verify a certificate. Care2Learn is a CPD Accredited Provider.
What is in the Refresher Pack?
Five course credits for £14.99, which works out at £3.00 a course and saves £4.96 on buying five singly. It is built around the five courses carers renew every year: Basic Life Support & First Aid, Moving & Handling, Safeguarding Adults, Infection Prevention & Control and Medication Awareness. The credits work on any course, so you can choose others instead (the Care Certificate uses two). It is a one-off payment and the credits never expire.
What does the Care Certificate Pack include?
For £19.99 you get seven credits: two for the Care Certificate course, which covers the knowledge for all 16 standards and comes with a portfolio that can be verified online, plus five for any other courses you choose. Bought separately that would cost £27.93, so you save £7.94. It is a one-off payment, suited to carers starting out self-employed or whose agency has asked for the Care Certificate.
Can I complete the full Care Certificate if I am self-employed?
Yes, if someone occupationally competent assesses your practice. You complete the knowledge for all 16 standards online and get a certificate for it. Each standard must then be signed off in the workplace, and you cannot sign yourself off. From your portfolio, invite the agency coordinator or manager who supervises your shifts by private link, which works for 30 days and can be withdrawn. Their name, role and organisation go on every sign-off. Once all 16 standards are signed off, the Care Certificate is awarded.
How does Unlimited Solo work?
Unlimited Solo is £24.99 a year, paid in full up front, and covers every course, the Care Certificate included, for you only. It is a 12-month plan that renews automatically; we email you 45 days before renewal. To stop it, give notice from your account at least 30 days before your term ends, or it takes effect a term later and the next payment is taken. You keep access until the plan ends. The price does not change during a term, and payments are non-refundable except where the law requires.
What happens to my training if I start working for an employer?
Your certificates are in your name and travel with you, whoever you work for, and a new employer can check them at verify a certificate. If your employer also uses Care2Learn, we can move your account into their team with your agreement. Your training record and certificates move across and still verify, you then sign in as care staff with your email and PIN, and your employer manages your record. With your agreement, any unused credits on your account are added to your employer's credit balance, where they can be used for anyone on the team. An Unlimited Solo plan must have ended first. Email hello@care2learn.co.uk to arrange it.
Can I get a refund on credits or a pack?
If you change your mind within 14 days of buying, email hello@care2learn.co.uk and we will refund any credits you have not used. Pack credits are refunded at the pack's per-credit rate (the pack price divided by its number of credits), and a wholly unused pack is refunded in full. Once you open a course, the credit used for it is not refundable. If you add a course by mistake and have not started it, you can remove it and any credits it used return to your balance.
Data, privacy & support
How we handle your team's personal data, keep accounts secure and get back to you when you need help.
How do I contact support, and how quickly will you reply?
Email hello@care2learn.co.uk or use the contact form on our home page. We aim to reply within one working day, and usually reply much sooner. Use the same address for privacy questions and data requests, and for anything else about your account, courses or certificates.
Is Care2Learn registered with the ICO, and do we need a separate data processing agreement?
Yes. CARE2LEARN LIMITED is registered with the Information Commissioner's Office under reference ZC205619. For your staff's training records, your organisation is the data controller and we act as your processor. Clause 7 of our Terms, with its Schedule, is the written processing contract UK GDPR requires, so you do not need to request a separate agreement. It commits us to act only on your instructions, keep data secure and tell you without undue delay about any breach.
What personal data do you hold about our staff, and who can see it?
For each learner we hold their name, work email, job role, start date, four-digit PIN, assigned courses, progress, completion dates, assessment scores and attempts, certificate records, the history of reminders and nudges sent to them, and any course requests they make. Where they apply, we also hold certificates or other files uploaded as evidence, competency sign-offs recorded against a course, Care Certificate evidence and sign-offs (with the assessor's name, role and organisation, and the email address they were invited at), training history imported from a previous provider, and any course ratings or feedback messages they send us. Your administrators can see all of this for your staff, including PINs. Each learner sees only their own record. A Care Certificate assessor you invite (or a self-employed carer invites) sees that learner's portfolio through a 30-day link. Anyone who verifies a certificate needs its ID and the learner's surname, and sees only the first initial, surname, course, dates, result and status.
How long do you keep training records, and what happens when someone leaves or we close our account?
Learner records are kept while your account is active and in line with your instructions. When someone leaves, you deactivate their licence and their certificates and training history stay in your account. If you close your account, we make your data available for export for a reasonable period, then delete or anonymise it unless the law requires us to keep it. The record of which Terms your organisation accepted is kept for six years after closure. Self-employed carers should download their certificates before closing.
Can a learner see, correct or delete their personal data?
Yes. Under UK data protection law anyone can ask to access, correct or delete their data, restrict or object to its use, receive a portable copy, or withdraw consent where we rely on it. Email hello@care2learn.co.uk. Where an employer holds the records, we may pass the request to them as the controller, and we help employers respond to their staff. Self-employed carers deal with us directly, as we are the controller for their accounts. You can also complain to the ICO at ico.org.uk.
How do sign-in and staff PINs keep accounts secure?
An organisation's account owner signs in with an email and password, and we store passwords hashed, not as plain text. Staff, including any admins you appoint, sign in with their email and a four-digit PIN. Ten incorrect attempts locks the account until the password or PIN is reset, and your account email is alerted when a staff account locks. Sessions end after four hours of inactivity, and data is encrypted in transit. Keep passwords and PINs private and tell us promptly about any suspected unauthorised access.
Who else handles our data, and where is it stored?
We do not sell personal data. Trusted providers help run the service under contracts requiring them to protect it: Render (hosting), Resend (email) and Stripe (payments), so we never store full card details. Google gets usage data from our public marketing pages only if you accept optional cookies, never learner records. If your organisation uses the direct NHS England connection for the Oliver McGowan elearning, the learner's name and Care2Learn ID are sent to NHS England's elfh platform when they launch it, and their progress and completion come back to us. We disclose data to advisers or authorities only where legally required. The platform and its database are hosted by Render in the United States (Oregon), and Resend sends email from the US too — these transfers are safeguarded by the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge), which UK law recognises, and each provider's data processing agreement. Section 8 of our Privacy Policy sets this out for your own records. Organisations get reasonable notice of provider changes and can object.
How do I complain about how my data is handled?
Email hello@care2learn.co.uk with "complaint" in the subject line, or use the contact form, and tell us what has gone wrong. We will acknowledge your complaint within 30 days and reply with the outcome and what we are doing about it. If your records are managed by your employer, they control that data, so we may pass your complaint to them and will tell you if we do. You can also complain to the ICO at ico.org.uk, whether or not you come to us first.
Will you send us marketing emails, and how do we unsubscribe?
If you use Care2Learn, we may email you product updates. Each one carries a one-click "Stop receiving product updates" link. Unsubscribing does not stop essential service messages such as sign-in details, training reminders and receipts; organisations can switch automatic reminders off in Settings. Anyone else only receives updates if they tick the unticked consent box on the certificate checker, and can withdraw at any time through the unsubscribe link or by emailing hello@care2learn.co.uk.
What cookies does the Care2Learn website use?
We use essential browser storage to keep you signed in and make the service work; it is not used to track you on other websites. Our public marketing pages can also use Google Ads and Google Analytics cookies, but these are off by default and nothing is set unless you choose Accept. Rejecting is as easy as accepting, the service works the same either way, and you can change your choice at any time with the "Cookie choices" link in the page footer.
